Opennote - Free AI Transcription (이하 "Opennote")은(는) 정보주체의 자유와 권리 보호를 위해 ｢개인정보 보호법｣ 및 관계 법령이 정한 바를 준수하여, 적법하게 개인정보를 처리하고 안전하게 관리하고 있습니다. 이에 ｢개인정보 보호법｣ 제30조에 따라 정보주체에게 개인정보의 처리와 보호에 관한 절차 및 기준을 안내하고, 이와 관련한 고충을 신속하고 원활하게 처리할 수 있도록 하기 위하여 다음과 같이 개인정보 처리방침을 수립·공개합니다.

회원 가입 의사 확인, 회원제 서비스 제공에 따른 본인 식별·인증, 회원자격 유지·관리, 서비스 부정이용 방지, 각종 고지·통지, 고충처리 목적으로 개인 정보를 처리합니다.

2. 서비스 제공

오디오 녹음, 음성 텍스트 변환(Transcription), 요약(Summary) 서비스 제공, 콘텐츠 제공의 목적으로 개인정보를 처리합니다.

서비스 이용에 대한 분석 및 서비스 개선을 목적으로 개인정보를 처리합니다.

4. 서비스 개발

기존 서비스와 별개의 신규 서비스 개발 목적으로 개인정보를 처리합니다.

① Opennote 은(는) 개인정보 보유기간의 경과, 처리목적 달성 등 개인정보가 불필요하게 되었을 때에는 지체없이 해당 개인정보를 파기합니다. ② 정보주체로부터 동의받은 개인정보 보유기간이 경과하거나 처리목적이 달성되었음에도 불구하고 다른 법령에 따라 개인정보를 계속 보존하여야 하는 경우에는, 해당 개인정보를 별도의 데이터베이스(DB)로 옮기거나 보관장소를 달리하여 보존합니다. ③ 개인정보 파기의 절차 및 방법은 다음과 같습니다.

1. AI Models (OpenAI GPT & Google Gemini)

제공목적 : 최신 AI 모델과 최적화된 프롬프트를 이용한 음성-텍스트 변환(Transcription) 및 요약(Summary) 기능 제공
제공항목 : 사용자가 녹음하거나 업로드한 오디오 데이터, 변환된 텍스트 데이터
보유 및 이용기간 : 서비스 제공 목적 달성 시까지 (각 사의 데이터 처리 정책에 따름, 일반적으로 API 데이터는 모델 학습에 사용되지 않음)

2. Firebase (Google)

제공목적 : 사용자 인증(Auth), 데이터베이스(Firestore), 서비스 품질 측정
제공항목 : 이메일, 이름, 서비스 이용 기록, 암호화된 비밀번호
보유 및 이용기간 : 회원 탈퇴 시까지

6. 개인정보의 국외 수집

Opennote 은(는) 로그인 서비스, AI 기능 등을 제공하기 위해 개인정보를 국외에서 수집하여 처리하고 있습니다.

① Opennote 은(는) 정보주체에게 개별적인 서비스와 편의를 제공하기 위해 이용정보를 저장하고 수시로 불러오는 ‘쿠키(cookie)’를 사용합니다. ② 쿠키는 웹사이트 운영에 이용되는 서버(http)가 정보주체의 브라우저에 보내는 소량의 정보로서 정보주체의 컴퓨터 또는 모바일에 저장되며, 웹사이트 접속 시 정보주체의 브라우저에서 서버로 자동 전송됩니다.

정보주체는 Opennote 에 대해 언제든지 개인정보 열람·전송·정정·삭제·처리정지 및 동의 철회 등을 요구(이하 “권리 행사”라 함)할 수 있습니다.
권리 행사는 Opennote 에 대해 「개인정보 보호법 시행령」 제41조제1항에 따라 서면, 전화, 전자우편 등을 통하여 하실 수 있으며, Opennote 은(는) 이에 대해 지체없이 조치하겠습니다.

정보주체는 언제든지 홈페이지의 'Contact'에서 열람을 요청할 수 있습니다. 정보주체는 언제든지 홈페이지의 'Contact'를 통해 개인정보를 본인에게 전송 요구할 수 있으며, 전송현황 및 내역을 확인할 수 있습니다.

12. 개인정보 처리방침의 변경에 관한 사항

Opennote 은(는) 개인정보 처리방침의 내용을 다음과 같이 변경 예정임을 알려드립니다. 개정된 개인 정보 처리방침은 2026년 3월 1일에 시행됩니다.

1. Introduction

Opennote - Free AI Transcription (hereinafter "Opennote") complies with the "Personal Information Protection Act" and related laws to protect the freedom and rights of data subjects, and processes and safely manages personal information lawfully. Accordingly, in accordance with Article 30 of the "Personal Information Protection Act", we establish and disclose the following personal information processing policy to guide data subjects on the procedures and standards for processing and protecting personal information and to promptly and smoothly handle related grievances.

2. Personal Information and Purpose of Processing

Opennote processes personal information for the following purposes. The personal information being processed is not used for purposes other than the following, and if the purpose of use is changed, necessary measures such as obtaining separate consent in accordance with Article 18 of the "Personal Information Protection Act" will be implemented.

2.1. Member Registration and Management

Personal information is processed for the purpose of confirming intent to join as a member, identification/authentication according to membership service provision, maintenance/management of membership qualification, prevention of illegal use of service, various notices/notifications, and grievance handling.

2.2. Service Provision

Personal information is processed for the purpose of providing audio recording, speech-to-text transcription, summary services, and content provision.

2.3. Service Improvement and Analysis

Personal information is processed for the purpose of analyzing service usage and improving the service.

2.4. Service Development

Personal information is processed for the purpose of developing new services separate from existing services.

3. Items of Personal Information Processed

Opennote collects and uses personal information of data subjects based on the following legal grounds.

3.1. Items Received from Sources Other Than Data Subjects

Opennote receives and processes the following personal information items from sources other than data subjects.

1. Easy Login (Google)

Legal Basis: Article 15, Paragraph 1, Item 4 of the "Personal Information Protection Act" ('Execution and Performance of Contract')

4. Processing and Retention Period of Personal Information

① Opennote processes and retains personal information within the personal information retention/use period according to laws or the personal information retention/use period agreed upon when collecting personal information from data subjects. ② The respective personal information processing and retention periods are as follows.

4.1. Homepage/Extension Membership Registration and Management

Until member withdrawal. However, in the following cases, until the end of the relevant reason:

If an investigation, etc., is in progress due to violation of relevant laws, until the investigation is completed.
If rights/obligations related to service usage remain, until the settlement of such rights/obligations.

4.2. Provision of Goods or Services

Until the completion of service supply and payment/settlement. However, in the following cases, until the end of the relevant period:

4.3. Storage of Communication Confirmation Data according to Article 15-2, Paragraph 2 of the "Protection of Communications Secrets Act"

5. Procedures and Methods for Destruction of Personal Information

① Opennote destroys the relevant personal information without delay when the personal information becomes unnecessary, such as the lapse of the personal information retention period or achievement of the processing purpose. ② If personal information must be preserved according to other laws despite the lapse of the personal information retention period agreed upon by the data subject or achievement of the processing purpose, the personal information is moved to a separate database (DB) or stored in a different location. ③ The procedures and methods for personal information destruction are as follows.

5.1. Destruction Procedure

Opennote selects personal information for which a reason for destruction has occurred and destroys the personal information with the approval of Opennote's Personal Information Protection Manager.

5.2. Destruction Method

Opennote destroys personal information recorded/stored in electronic file format so that the record cannot be reproduced, and personal information recorded/stored in paper documents is destroyed by shredding with a shredder or incinerating.

5.3. Member Withdrawal Method

6. Provision of Personal Information to Third Parties

① Opennote provides personal information to third parties only within the minimum necessary scope with the consent of the data subject in accordance with Article 17, Paragraph 1, Item 1 of the "Personal Information Protection Act" for smooth service provision in the following cases.

1. AI Models (OpenAI GPT & Google Gemini)

Purpose of Provision: Providing Speech-to-Text Transcription and Summary functions using latest AI models and optimized prompts
Items Provided: Audio data recorded or uploaded by the user, transcribed text data
Retention and Usage Period: Until the purpose of service provision is achieved (subject to each company's data processing policy; generally, API data is not used for model training)

2. Firebase (Google)

Purpose of Provision: User Authentication (Auth), Database (Firestore), Service Quality Measurement
Items Provided: Email, Name, Service usage records, Encrypted password
Retention and Usage Period: Until member withdrawal

7. Overseas Collection of Personal Information

Opennote collects and processes personal information overseas to provide login services, AI functions, etc.

Country where personal information is collected/processed: USA (Location of OpenAI, Google/Firebase servers)

8. Measures for Ensuring Safety of Personal Information

Opennote takes the following measures to ensure the safety of personal information.

8.1. Administrative Measures

Establishment and implementation of internal management plans, regular employee training

8.2. Technical Measures

Management of access rights to personal information processing systems, installation of access control systems, encryption of personal information (passwords, etc.), storage and inspection of access records, installation and renewal of security programs

8.3. Physical Measures

Access control for data storage rooms, etc., storage of documents/auxiliary storage media in safe places with locking devices

9. Installation, Operation, and Rejection of Automatic Personal Information Collection Devices

① Opennote uses 'cookies' that store and frequently retrieve usage information to provide individualized services and convenience to data subjects. ② Cookies are small amounts of information sent by the server (http) used to operate the website to the data subject's browser and are stored on the data subject's computer or mobile device. When accessing the website, they are automatically transmitted from the data subject's browser to the server.

10. Rights and Obligations of Data Subjects and Legal Representatives and Methods of Exercise

The data subject may request Opennote to view, transmit, correct, delete, suspend processing, or withdraw consent for personal information at any time (hereinafter referred to as "Exercise of Rights").
The exercise of rights can be done to Opennote in writing, by phone, email, etc., in accordance with Article 41, Paragraph 1 of the Enforcement Decree of the "Personal Information Protection Act", and Opennote will take action without delay.

The data subject can request to view at any time in 'Contact' on the homepage. The data subject can request the transmission of personal information to themselves at any time through 'Contact' on the homepage and check the transmission status and history.

The exercise of rights may also be done through an agent such as the legal representative of the data subject or a person who has been delegated. In this case, a power of attorney according to Form 11 of the "Notice on Personal Information Processing Methods" must be submitted.
The rights of the data subject to request viewing and suspension of processing of personal information may be restricted by Article 35, Paragraph 4 and Article 37, Paragraph 2 of the "Personal Information Protection Act".
If the personal information is specified as a collection target in other laws, deletion of the relevant personal information cannot be requested.
Opennote verifies whether the person who exercised the right is the person themselves or a legitimate agent.
The data subject may exercise their rights to the department below. Opennote will reply within 10 days (without delay in case of transmission request) from the date of receiving the request for the exercise of rights.
